If you're starting a business in the United States — or even thinking about it — one of the first things you'll hear about is an EIN (Employer Identification Number). But what exactly is it? Do you really need one? And how do you get it?

Let's break it down in simple terms.

What Is an EIN?

An EIN is a 9-digit number issued by the IRS (Internal Revenue Service) that identifies your business for tax purposes. Think of it as a Social Security number for your business.

It looks like this: XX-XXXXXXX

Every business entity — LLCs, corporations, partnerships — needs one. Even sole proprietors benefit from having an EIN instead of using their personal Social Security number.

Why Do You Need an EIN?

1. Open a Business Bank Account

Banks require an EIN to open a business checking or savings account. Without a separate business account, you're mixing personal and business finances — which can cause serious problems if you're ever audited.

2. Hire Employees

If you plan to hire anyone — even a part-time helper — you need an EIN to report payroll taxes to the IRS and state agencies.

3. File Business Taxes

Your EIN is required on all federal tax filings related to your business. It's how the IRS tracks your business income separately from your personal income.

4. Build Business Credit

An EIN lets you apply for business credit cards, loans, and lines of credit under your business name — not your personal name. This helps you build a separate business credit score.

5. Protect Your Personal Identity

Using an EIN instead of your Social Security number on contracts, invoices, and vendor forms reduces the risk of identity theft.

6. Work with Vendors and Clients

Many clients and vendors will ask for your EIN on W-9 forms before they'll do business with you. Having one signals that you're a legitimate, registered operation.

Who Needs an EIN?

Business Type EIN Required?
LLC (single or multi-member) ✅ Yes
Corporation (S-Corp, C-Corp) ✅ Yes
Partnership ✅ Yes
Sole proprietor with employees ✅ Yes
Sole proprietor without employees ⚠️ Recommended
Nonprofit organization ✅ Yes

Even if you're a sole proprietor with no employees, we strongly recommend getting an EIN. It costs nothing and gives you all the benefits listed above.

How to Get an EIN (It's Free!)

This is the best part — getting an EIN is completely free and takes about 10 minutes.

Online (Fastest Method)

  1. Go to the IRS EIN Online Application
  2. Click "Apply Online Now"
  3. Answer the questions about your business type and structure
  4. Provide your personal information (as the responsible party)
  5. Submit — you'll receive your EIN immediately

Important: The online application is available Monday through Friday, 7:00 AM to 10:00 PM Eastern Time.

By Phone

Call the IRS Business & Specialty Tax Line at (800) 829-4933. An agent will walk you through the application and give you your EIN during the call.

By Mail or Fax

Fill out Form SS-4 and either:

  • Fax it to (855) 641-6935 — response within 4 business days
  • Mail it to the IRS — response within 4–5 weeks

What You'll Need to Apply

Have this information ready before you start:

  • Your legal name and Social Security number (or ITIN)
  • Business name and address
  • Business structure (LLC, sole proprietorship, etc.)
  • Date the business was started (or will start)
  • Number of employees you expect to hire in the next 12 months
  • Reason for applying (starting a new business, banking, etc.)

Common EIN Mistakes

  1. Applying multiple times — You only need ONE EIN per business entity. If you already have one, don't apply again.
  2. Using your SSN instead — Using your personal Social Security number on business documents creates liability and identity theft risks.
  3. Not updating after changes — If your LLC changes members or structure, you may need a new EIN.
  4. Paying someone for it — There are scam websites that charge $50–$200 to "get your EIN." The IRS provides it for free. Never pay for this service.
